PDF documents have been around since the early 1990s when Nirvana and Pearl Jam were topping the charts, but the file format has had even more staying power than grunge rock. The PDF (or Portable Document Format) serves all sorts of purposes, from product manuals to menus to annual reports and ebooks.

There are multiple reasons why different small businesses may want to send PDFs to their customers and contacts. So, can you deliver a PDF through a text message?

You definitely can. However, there’s a certain way to do it that makes the most sense for your business while keeping your contact list safe. What you don’t want to do is text people PDFs as an attachment. We’ll explain why…

Why you should not send PDFs as an attachment

There’s a good chance you’ve sent PDFs as email attachments. So, why should you avoid doing the same thing with an SMS or MMS message? There are a few reasons:

  • Security concerns for your contacts
  • Limitations of text messaging
  • Costs for your business

Security concerns with PDF attachments

Even though attaching a PDF to an MMS message might be a possibility, it is not recommended. That’s because bad actors sometimes use PDF attachments to trick message recipients into downloading malware. For example, a scammer may indicate that a PDF attachment is a customer invoice but the recipient actually downloads malicious software when they click it.

While PDF attachments in peer-to-peer (P2P) email communications are common, you’ll rarely ever see PDFs sent as part of email marketing efforts. That’s for the exact same security concerns PDF attachments create. If you want to make sure your contacts trust what you’re sending, don’t attach PDFs to mass text messages (or bulk emails). It looks spammy and suspicious. Many people will be wary of those messages and may choose not to engage with what you send them.

PDFs and file size limitations

Another reason sending an entire PDF through a text message is problematic has to do with the size of these files. If you’re sending a multi-page document, there’s a good chance it’s just too big to text.

MMS (Multimedia Messaging Service) can handle files such as jpegs, pngs, and even short videos. However, MMS isn’t ideal for large PDFs. While you can upload files to SimpleTexting that are up to 10 megabytes (MB), those files will be resized to a maximum of 1MB. This might work fine for an image or graphic, but it could seriously degrade the quality of a PDF.

Note: Mobile carriers have different file size limitations for MMS as well.

In general, text messaging may not be the best channel for sending PDFs at all. Many PDF documents are not designed to be viewed on mobile devices. If you’ve ever opened a PDF on your smartphone and had to pinch and zoom like crazy to read anything, you know exactly what we’re talking about.

PDFs and the costs of text messaging

Because of the large file size, sending PDFs in an MMS message can also increase your costs as a business. This will depend on what business texting platform you choose to use and their pricing structure. In general, SMS messages are a bit more affordable than MMS. And there is an easy way to deliver PDFs via texts using SMS.

How to text a PDF from SimpleTexting’s platform

When you do need to send a PDF through text messaging, the best way to do so is through a link to the PDF document online.

If you’re using a mass texting solution like SimpleTexting, there are a couple of ways to make this happen. You can upload a PDF to our platform and link to it in an SMS message. You can also upload it to your own website or another location and link to that. The only difference is – if you upload a PDF to SimpleTexting – we are hosting the PDF. If you upload the file to your own domain, then you host it.

Either way, your recipients get a link rather than an entire file. They’ll open the PDF in a web browser and can either view it there or choose to download the document. Let’s take a closer look at how it works and how it looks in an actual SMS message.

​​How to send a PDF via text with a link

This method of sending a PDF via text message works well for mass texting use cases.

For example, use this method if you’d like to text a new PDF menu for your restaurant to an exclusive text club to get feedback before rolling it out in your business:

When the recipient clicks, they’ll open the PDF:

  1. Begin by logging in to your SimpleTexting dashboard and choosing Campaigns on the left-hand side. Make sure you select SMS as the message type.
  2. In your message box, select the media icon.

3. Select Upload, and then choose and upload your desired PDF. You can also upload it by pasting in the URL. Once your PDF is added to your message, select it and press the blue Include button.

4. Your PDF will show up in your message as a link that, when clicked on, will redirect recipients to the document online.

4 examples of when to send a PDF via text messaging

We’ve gone through the how of texting a PDF, but why would someone want to send PDFs through text in the first place? 

Beyond the convenience of writing and sending them, texts get impressive open and response rates. It’s why thousands of organizations across the country have transitioned their communications to SMS.

Attaching a PDF to a text is just another way to tailor your business services to a mobile-based market and make sure your customers get the documents they need instantly.

Here are a few examples to help you put them to work in your own business:

Monthly reports

Analytics and reporting software often exports data in the form of PDF reports. If you need to distribute that to your team or to clients who prefer communicating over text messaging, you can send them a PDF linked in an SMS.

Menus

Restaurants often publish their menus on PDFs. It’s convenient because you can both print hard copy PDF menus and view them digitally. A local restaurant may want to send a PDF link to their menu for guests who’ve made a reservation or diners who are waiting for a table to view on their devices.

Frequently asked questions about texting PDFs

How do I text a PDF on my phone?

If you’re looking to text a PDF to your customers from your phone, just make sure your SMS provider offers a mobile app that allows you to add files to your campaigns or one-on-one conversations, just like you would on a laptop.
Yes, you can send PDFs on an iPhone as long as your SMS platform’s mobile app is compatible with iOS. You can also add PDFs to texts in iMessage.
PDFs show up in text messages as either a clickable link or a physical attachment, depending on whether they’re sent in an SMS or MMS message. Opening a PDF from a text is as easy as clicking the link or the attachment.

Does SMS marketing for the holiday season really work? The proof is in the figgy pudding, my friends.

I spoke with some online retailers about their plans to drive more sales with SMS and decided to follow up and find out how their e-commerce text message campaigns in previous years.

I reached out to Ryan Turner, founder of Ecommerce Intelligence, and Jeff Moriarty, marketing manager at Moriarty’s Gem Art to hear how their campaigns fared and what insights they uncovered to help other online stores succeed during the holidays.

How did your clients’ SMS holiday campaigns perform? Did they meet your expectations?

Overall, SMS was a great channel for our brands during the holiday season. 

This year, we were working with much bigger SMS lists than in previous years, as we’d put more effort into growing them. So, that definitely paid off.

We encouraged people to sign up for texts in the weeks leading up to BFCM, so they’d get notifications as soon as deals were live. That was a big driver of list growth. 

In terms of our overall strategy, we always focus on pushing early access to deals via both email marketing and SMS, as that’s always highly effective. This year was no different, and the VIP segments were a huge success. 

Outside of that, we essentially mirrored our email marketing strategy on the SMS channel over the BFCM week, but didn’t send quite as many texts as we did emails. 

What, if anything, would you change for the next holiday season?

One thing I would change next time is focusing more on text-only SMS campaigns, rather than using MMS campaigns with images and GIFs. 

Carriers can struggle with deliverability for media messages during the busiest sending times, but that doesn’t happen as much if you’re using all text. 

Some clients were adamant about including graphics, but I think next time we’ll try and encourage them not to. 

Are there ways retailers can encourage more click-throughs without using images?

Just include a short and to-the-point message with a clear CTA, really. If you’re pushing a strong offer, people don’t need any more information. 

The strength of the offer is enough, so don’t distract people with other messaging — just focus on getting the click. This can be done very successfully without using any images at all.

How did you advertise/encourage SMS contact sign-ups?

We have an opt-in to our list on the checkout page, in a post-purchase email, and in a pop-up on our website. We also push people to sign up during our live online shows.

Do you have any plans to nurture the contacts who signed up for the holiday sales throughout the year?

We plan on sending marketing messages to that list for monthly sales and our live shows — one to two messages per month. Then, when the holidays hit again, we will increase it to one to two messages per week.

The closer we get to the holidays, the busier those customers become. At that point, it doesn’t matter how incredible your promotions are if no one hears about them. This means that retailers need to find creative ways beyond traditional channels like email and social media advertising to get eyes on their campaigns.  

To avoid being overshadowed by big box stores, SMB retailers are using text message marketing more than ever to boost their holiday sales.

The SMS advantage for holiday marketing

2024 research from Sinch found that most consumers (78%) want to hear about Black Friday and Cyber Monday deals through multiple channels. While the traditional channel of email topped the list of preferred ways to hear from brands, more than 43% said text messaging (SMS) was an ideal channel for promotions.

If you’re already doing email marketing, text message marketing is the next logical step for most small businesses looking to scale their customer communications strategies.

Beyond marketing, SMS communication is also an efficient way to deliver transactional messages and have direct conversations with customers throughout the holidays. No photo op is complete without a fun background, which is exactly what Kate Backdrop provides. 

David Zheng, CEO of Kate Backdrop, shared how the company uses SMS for its BFCM campaign by focusing on sales announcements.

“We usually send out messages like ‘Black Friday sales are now open! Get 15% off for new arrivals!’ to remind customers that they should take advantage of our great sales during this time,” said Zheng. “We also plan to send texts to our new customers and include a call to action like ‘Stay tuned for our BFCM sales!'”

The company saw a sizable increase in customers by using SMS, so they are doubled down on their efforts the following year.

Ecommerce Intelligence

Ecommerce Intelligence is a full-service growth agency that focuses on email and SMS. They understand how important these channels are for each of their clients and plan to implement SMS in this year’s e-commerce holiday campaigns.

“In the weeks leading up to Black Friday,” explained founder Ryan Turner, “we heavily promote SMS sign-ups via email campaigns and website popups to grow list sizes. We’ll be running early access promotions for VIP customers this year via SMS. This will give the most valuable shoppers a chance to get everything they want with Black Friday price reductions before everyone else.”

The company has found that SMS is an effective strategy for their clients because it cuts through the noise of overwhelming promotions and comes with a 98% open rate

They tried SMS over the holiday season with a few client brands and learned that each SMS contact was worth about seven times as much as an email subscriber in terms of revenue generated per message.

Faruzo

E-commerce jewelry and accessories store Faruzo is using text messaging to harness the power of personalization. Focusing on the consumer experience, the company is investing its efforts for the first time into SMS to drive sales and build customer relationships.

The goal is to curate personalized messages with limited-time offers. And when customers are in the area, they will receive an incentive via SMS to visit the store.

Supplement Warehouse

Supplement Warehouse, a national brand with over 20 retail locations and an online store, also uses SMS to drive sales during Black Friday and Cyber Monday shopping.

The company takes an omnichannel approach to BFCM promotions by sending SMS campaigns with complementary email promotions to ensure customers don’t miss out on the promotions. After analyzing the results from past years, Supplement Warehouse noticed it’s cost of sales from SMS was 30% lower than email. That prompted the company to roll out its SMS strategy across all store locations.

Moriarty’s Gem Art

Online jewelry store Moriarty’s Gem Art has learned the effectiveness of SMS marketing in the past and went full force for the holiday season.

The store plans on using SMS for its entire BFCM campaign, which runs the Monday before and ends the Tuesday after Cyber Monday. They will be sending out sale reminders throughout the week to pique interest and help drive sales.

Previously, the company spent $150 on one SMS campaign during BFCM, and it resulted in over $8,000 worth of sales.

Why should retailers use SMS in holiday campaigns?

For starters, SMS marketing is extremely easy to set up, and you can quickly create and launch campaigns with just a few clicks.

Secondly, text messaging is one of the most convenient marketing channels for holiday shoppers.

Consider this… More than half of all holiday spending (53%) now takes place on mobile phones. If your business has an ecommerce store for online shopping, a text message is one of the most effective ways to drive people to your website.

Even when people aren’t checking out sales on mobile, their phones aren’t far away. We surveyed 1,300 people and found that 1 in 3 consumers checks their text notifications within one minute of receiving a text. On top of that, 70% of consumers opted in to receive texts from businesses. 

The takeaway? Your customers probably want you to text them, and they’re going to see your message soon after receiving it.

Put holiday SMS tips into practice

As you plan your holiday text messaging campaigns, here are a few tips to keep in mind:

  • Personalize your messages. People love knowing that the message they’re receiving is just for them. You can use data gathered from past purchases or demographics to tailor your offers and increase engagement.
  • Keep it short and sweet. People are busy and don’t want to read a novel when they receive a text. Keep it concise (160 characters or fewer), and make sure the message is clear.
  • Leverage existing relationships. If you already have an SMS contact list, use them as your main source of BFCM promotion. But don’t forget to promote your SMS list to new customers — you never know who will join!
  • Test different offers and strategies. There’s no one-size-fits-all approach when it comes to SMS marketing. Try out different offers, message styles, and timing to see what works best for your audience.

As the event planner for the Franchise Brokers Association (FBA), Brianna LaCaruba leads the communication strategy for their annual conference.  

With dozens of networking meetings, educational seminars, and other conference events, Brianna said keeping everyone in the loop can feel hectic. 

“Try wrangling 400 stray cats,” Brianna said. “It’s hard, but once you have a solid communication system, everybody is on the same page.” 

For past conferences, the FBA’s biggest challenge was getting people to open and respond to emails. So this year, Brianna started texting attendees as well. 

“Everyone always has their phone on them,” she said. “Young or old, they have their phone on them. And if it dings, they’re going to check it.” 

By adding text messaging to her communication strategy, Brianna and her team: 

1. Reduced confusion and frustration for all 400 of this year’s attendees. 

2. Increased post-event feedback by 20%. 

3. Collected 1,000+ event photos from attendees. 

Now, Brianna said she can’t imagine running a conference without texting.

Although attendees provided their numbers at sign up, Brianna invited people to text the FBA’s number throughout the conference. She did this for two reasons:

  1. Some people purchased tickets with their work numbers but only kept their personal phones on them during the conference. 
“People were pulling me aside, saying, ‘This is amazing. We haven't been to another event where somebody's texted us and let us know a session starts in 10 minutes, what room to go to, and what we're going to go over.”

During the event, you’ll be pulled in a thousand directions. Your future self will thank you for writing out the texts you need to send ahead of time.

Brianna drafted text reminders in a spreadsheet for breakout sessions, cocktail hours, meals, and more. Then she simply uploaded those messages into SimpleTexting and scheduled them in advance

Pro tip: If your event has a hashtag, add it to your texts to boost interactions on social media. 

3. Add multiple teammates to your texting platform. 

Naturally, as the event planner, Brianna had her hands full during the four-day conference. If she could change one thing about her texting strategy, she’d add another staff member or two to respond to incoming texts. 

Be realistic about how much time you’ll have to answer attendee questions, on top of managing the event. You can also save text templates for responses to frequently asked questions.

4. Send a post-event survey reminder. 

Brianna knows that while attendees are traveling back home, they're more likely to use their phones than any other device. 

After this year’s conference, she sent a follow-up text thanking everyone for attending and letting them know that they’d receive a feedback survey via email.

Even though the text itself didn’t contain a link to the survey, response rates increased by an impressive 20%.  

5. Ask attendees to send photos of the event. 

The FBA hires a professional photographer every year for the conference, but the photographer can only be in so many people at once. 

So this year, Brianna sent a text asking people to send in their photos from the event. 

“It was great getting it from their point of view, seeing who they got to meet, and everything like that,” Brianna said. “I downloaded over a thousand pictures.”  

In previous years, Brianna received fewer photos when she requested them via email. Not everyone has their work email on their personal phones, so they’d have to send the photos to their laptop before emailing them. 

With texting, attendees could simply attach the photos to their message.

Brianna’s biggest tip for finding the right SMS platform is to trial it with your colleagues. 

“I can't stress this enough for anybody who's going to try an app,” she advised. “You have to test it out in house before.”

This year, the number of businesses whose average click-through rates sit above 35% grew by almost 62% between 2021 and 2024.

This is partially because SMS has now been around for a number of years and we’re all getting a better sense of how to use it.

Gen Z will be a big part of your audience

No surprise here. Gen Z is growing up (a fact that makes my aging self cringe a bit) and they’re fans of texting. 

According to our report, Gen Z are the generation subscribing to SMS marketing at the highest rates. 85% of Gen Zers opted in to get texts from businesses in 2023 –– a 19% increase from our last report.

All that to say, it will pay to learn how to talk to a younger demographic. Keep this in mind as you research and put together your texts.

What this means for you:

This is a good reminder to keep your texts age-inclusive as much as possible. 

That means it’s okay to play with emojis and a fun tone (as long as it fits your brand voice). Not to mention that tuning into and communicating about Gen Z’s concerns, like sustainability, mental health, and ethical product sourcing will pay off.

Healthcare SMS will thrive

Although we often think of healthcare as a more “traditional” business model, healthcare practices have been adopting SMS for years with no signs of slowing. 

In the present day, healthcare topped the list in our survey as the sector with the highest SMS marketing adoption rates at 86%.

That’s just the business side. Healthcare consumers also reported the highest opt-in rates in our data.

What this means for you:

If you work in healthcare, SMS is now the norm. Your customers and patients want you to text them, and you can be sure that your lists will grow if and when you adopt texting.

On the heels of the previous point, promotional texts will play second fiddle to transactional texts this year.

Appointment and reservation reminders (73%) and package tracking or order status (66%) texts are the use cases consumers say they’re most likely to opt in for.

Now, that’s not to say you should scrap your sale announcements. It’s simply a reminder that your customers are looking for information that’s personal to them and immediately useful.

What this means for you:

If you don’t already offer these formats (and if they’re appropriate for your business), consider adopting them.

Also, this is an excellent way to keep perspective around the fact that your content calendar doesn’t have to sell and promote at all times. Sometimes, transactional texts are the best way to be of genuine service to your customers.

AI will reign

You likely saw this coming, but artificial intelligence (AI) is set to take a bigger role in creating the text messages business owners send. 

When asked which emerging trends or technologies they planned to add to their text marketing strategies in the future, business owners chose AI above all others (at 40%).

If you just need to send one-on-one messages to clients, though, Google Voice is a cost-effective option. Just keep your messages under 160 characters, since the application will break up larger messages into multiple texts.

If you use an iPhone, keep in mind that only the Windows 11 version of Microsoft Phone Link connects to that brand.

If your recipient uses an Apple device (even an iPod), you can send as many messages as you’d like from your computer. To text anyone with a phone number, you’ll need to sync your iPhone.

On top of its text messaging features, Apple Messages also lets you make FaceTime calls from a message, collaborate on documents, and share your screen.

2. Text from your Mac with Messages

If you’re an iPhone user, you can easily text your clients from a Mac computer.

What you’ll need: 

  • iPhone
  • Apple ID
  • Mac computer or laptop that’s connected to Wi-Fi or cellular data

How it works: While the Messages app on your computer lets you send and receive iMessages (blue texts) automatically, you can enable all SMS and MMS messages (blue and green texts) by:

  1. Opening the Settings app on your iPhone and navigating to Messages.
  2. Tapping Text Message Forwarding and selecting your Mac.

After opening the Messages app on your Mac and signing in with your Apple ID, you’ll:

  1. Click on the New Message button at the top of the app. 
  2. Enter the name, email, or number of the contact you want to text. You can also click the plus symbol in the “To” field to add a contact.
  3. Type your message in the compose field at the bottom of the app and press Enter on your keyboard.

How it works: 

  1. Open the Messages app on your Android phone and tap Device Pairing.
  2. On your computer, open Messages for web in your browser.
  3. Use your phone to scan the QR code on your computer screen. You should now be able to send and receive text messages on your computer.

4. Text from a computer with Google Voice

Sending texts with Google Voice is an acceptable option if you’re specifically looking to have one-on-one text conversations using your computer. Just don’t use it for bulk text messages or your account could be suspended.

What you’ll need:

  • Google Voice account (free or business plan)
  • Computer with Wi-Fi or cellular data

How it works: 

  1. After creating a Google Voice account, go to your dashboard and open the Messages tab.
  2. Click on “Send a new message” in the top left corner and enter your contact’s phone number in the “To” field.
  3. Compose your message and click on the send button to the right, or hit the Enter button on your keyboard.

Microsoft also offers a convenient way to text from a computer with their Phone Link app.

  1. Connect your phone and PC using the QR code in the Link to Windows or Phone Link app.
  2. Open the Phone Link app on your PC, and click Messages.
  3. Choose New Message to start a new conversation.
  4. Type in the name or number of the contact you’re trying to reach and select the contact.
  5. Write out your message and send it.

6. Text from a computer via email

As long as you have an email address and know the phone service provider of the contact, you can send a text through email.

Here’s how it works:

  1. Open a new email.
  2. In the “To” line, type your contact’s 10-digit phone number.
  3. Combine their 10-digit number with the applicable service carrier domain (see the chart below).
  4. Type your message and click send. When a user responds, their text will appear in your email inbox.

7. Send a text using your wireless carrier’s website

Did you know some major wireless service providers allow you to text directly from their website? 

Carriers like Verizon and AT&T have online portals that make sending texts to other users in your network and receiving text messages right from your laptop easy.

What you’ll need:

  • Mobile phone plan with SMS services
  • Computer or laptop

How it works: If you navigate to your user account on your carrier’s site (like your “My Verizon” or “My AT&T” page), you can send and receive texts from other users on the same carrier. 

Some carriers even have a desktop app like T-Mobile’s DIGITS that you can download to make the process faster.

8. Text from a computer using free SMS websites

There are also a number of websites out there that will let you send SMS messages for free.

Sites like OpenTextingOnline allow you to send text messages directly from their website to recipients with a cell phone at no charge.

A word of caution: These websites do come with limitations. OpenTextingOnline, for example, does not support group messages, and Text’em requires the sender to have an email account if they want to receive replies.

All that to say, do some research on your free SMS site to make sure it has all the features you need. And, as with anything free, read some reviews to make sure the site is secure and spam-free.

What Is a BCC Text?

A BCC text message, also known as a mass text or a blind group text, is an SMS message that goes out to a group of contacts where only the sender can see recipients’ phone numbers and replies.

BCC stands for blind carbon copy. According to Merriam-Webster, “This meaning comes from the use of carbon paper, which was used to make copies of documents by pressing pigment onto an additional sheet of paper underneath. ‘Blind carbon copies’ were copies that didn’t let the recipient know it was a copy.”

For BCC text messages, that means:

  • No giant threads where everyone sees the replies.
  • No phone numbers shared with the whole group.

It’s like a group text message without reply all — recipients can’t see each other’s replies or phone numbers, and you respond to questions and comments one-on-one.

How to Send a Group Blind Text or BCC Text

1. Gather Your List of Phone Numbers

Get your list of phone numbers together in a spreadsheet and add a header row to the top that says, “Phone Numbers.” Add additional rows for details like your contacts’ first names if you plan to personalize your texts.

Please note that just because you have a list of phone numbers, it doesn’t mean you’re in the clear to start sending BCC text messages to them.

You must follow the rules set out by the Telephone Consumer Protection Act (TCPA). That means obtaining express written consent (a legalese word for written permission) before a single message goes out the door.

2. Import Your List

Go to Contacts on the left-hand side of your SimpleTexting dashboard. Click Add contacts then follow the prompts: Drag and drop a spreadsheet list, and create a new list. For example, you may name the list “Employees.” Click Next.

After that, just map the fields you want to import and click Next. Confirm your import and agree to the terms and conditions, then click Import.

3. Write Your BCC Text Message

Go to Campaigns on the left side of your dashboard. Select New. Give your message a name for your reference, then type out your group blind text message.

4. Add a Personalized Custom Field to Your Message (Optional)

Because your message will go out to contacts individually, you can choose to personalize each one with your contacts’ information. 

For example, if you add %%firstname%% to the beginning of your text message, it will appear on your contacts’ phones with their first names.

5. Schedule Your Message or Send It Now

You can select a specific time and date for your BCC text message to go out or send it immediately. Because our BCC text app will send the message to each person individually, replies will only go to you, the sender.

You may send the text immediately, schedule it for later, or set up recurring text messages.

Send a BCC Text Message on iPhone and Android

We covered how to text from your computer above, but you can also send a BCC text message from your iPhone or Android with the SimpleTexting mobile app

If a BCC text message app isn’t for you, you can send blind group texts from your personal phone.

Can you BCC text messages on iPhone?

Yes, you can send BCC texts from your iPhone to up to 25 recipients. Here’s a way to send a group text without showing all recipients:

  1. Go to Settings > Messages. Toggle the iMessage and Group Messaging settings off. 
  2. From your text inbox, tap the new message button and add your contacts in the “To” field.
  3. Send the message. You’ll receive replies as individual messages in your inbox.

Can you BCC text messages on Android?

You can send BCC texts on an Android device, but you’ll need to download Google’s Messages app first.

  1. In the Messages app, tap More Options (three vertical dots on the top right) and navigate to Settings > Advanced.
  2. Go to Group messaging, and then select “Send an SMS reply to all recipients and get individual replies (mass text)”.
  3. Send a group text as you normally would.

As a marketer, I’m supposed to create content that addresses my audience’s top challenges. That’s 101-level content marketing advice.

For instance, I recently responded to a popular SimpleTexting customer question — “What texts should I send?” 

But today, I’m breaking all the rules and answering a question that the majority of our customers aren’t asking:

“How do I measure my text marketing performance?”

I get it. You’re already spending precious time sending campaigns and monitoring your inbox, and you don’t want to add another task to your Jenga tower of a to-do list. 

Can SMS marketing analytics feel like busy work? Yes. But think about it this way instead:

Not tracking your SMS marketing could mean that your text campaigns are busy work.

Spending a few minutes a week (or even a month) measuring your SMS strategy will show you whether you’re spending your time wisely or you need to pivot. 

The Walk-run-sprint of SMS analytics

When I’m overwhelmed, I break tasks up into smaller steps. Because even just the word analytics exhausts me, I’ve broken SMS marketing measurement into three stages: Walk, Run, and Sprint.

With this phased approach, you can ease into tracking your text strategy. Each step of the process will ask you what you want to learn about your strategy and show you which metrics are relevant. 

This way, you’ll start with a few meaningful metrics and add to them as your business grows. 

Here’s how we’ll get there:

1. Walk

If you’re low on time and resources, start at a leisurely pace with the Walk phase. You’ll use your subscriber growth rate, click-through rates, and response rates to answer questions like:

  • Is my contact list growing?
  • Are my contacts interacting with my texts?

2. Run

At this point, you know your way around an SMS analytics dashboard and are ready for the Run phase. Use your delivery and unsubscribe rates to answer:

  • How engaged are my contacts?
  • Are there any deliverability issues with my messages?

3. Sprint

There’s no slowing down now. You’re making decisions about your SMS marketing strategy faster with data, and you want to show texting’s return on investment. 

Now, you can use channel-specific promo codes, UTM parameters, and Google Analytics conversion reports to answer: 

  • Are my texts generating revenue?
  • Are my texts leading to other actions, like event sign-ups and customer reviews?

Now, let’s dig into which metrics you’ll track in each phase (and how to find them).

Phase 1: Walk toward a growing and engaging contact list

In the Walk stage of SMS marketing analytics, you’re getting warmed up. You’ve set up your compliant SMS opt-in method (a.k.a. the way you invite people to join your list), and you’ve even sent out a few text campaigns. 

As you stroll through this first stage, you’re answering questions like:

  • Is my contact list growing?
  • Are my contacts interacting with my texts?

The metrics you need to answer these questions are:

  • Subscriber growth rate
  • Click-through rates
  • Response rate

1. Subscriber growth rate

Your subscribers are people who find value in your texts. So think of your subscriber growth rate as how quickly your fan club is expanding.

If your subscriber growth rate increases, you’re attracting the right audience with the right message in the right marketing channels. If it lowers or stays the same, reassess your strategy.

And remember to follow SMS industry compliance regulations as you invite people to join your list.

How to find your subscriber growth rate: In your SimpleTexting dashboard, click on the Analytics tab in the left menu. You’ll see a graph of your text list subscriptions over time and the total number of subscribers from keywords, web forms, and Mailchimp.

To calculate your subscriber growth rate, take the number of new subscribers (minus the number of unsubscribes) and divide by your total subscriber count. Then multiply it by 100.

2. Click-through rate (CTR)

Click-through rates (CTR) reveal the percentage of subscribers who have clicked on a link.

It’s a handy way to tell if your messages are compelling people to click through to your site, social media profiles, or other destinations you want them to visit.

How to improve it: If your CTR seems low, consider rewriting your call to action (the copy that invites people to tap on a link) to make it irresistible. 

How to find your click-through rate: In your SimpleTexting Analytics dashboard, navigate to the ‘Messaging report’. On the far right side of the ‘Detailed breakdown’ section, you’ll see the number of clicks and CTR for your text campaigns that include links.

3. Response rate

Although not every text campaign warrants a response, our 2024 SMS marketing report revealed that 79% of consumers have opted in to get texts from businesses this year.

For campaigns where you expect a reply, your response rate measures the percentage of contacts who replied to your text. 

High-response rates mean your messages are sparking conversations, which can lead to increased brand engagement and opportunities to connect with your contacts.

How to improve it: If your rate is lower than expected, it might mean your call-to-action isn’t strong enough, or you aren’t asking engaging questions.

How to find your response rate: In the same section of the SimpleTexting Analytics tab where you found your campaigns’ clicks and CTR, you’ll see a column for ‘Responses’. Divide that number by the number in the ‘Total sent’ column, and then multiply by 100.

If the number in the ‘Success rate’ column is less than 100% (meaning some of your messages weren’t delivered), you’ll need to:

  1. Multiply your total sent number by the success rate.
  2. Divide that number by 100.
Formula for response rate, which is responses divided by total sent messages multiplied by the success rate. Multiply the result by 100.

Phase 2: Run toward high deliverability and low unsubscribe rates

Ready for a deeper look into your SMS marketing performance? Let’s get into the Run phase of SMS analytics.

Here, you’re asking questions like:

  • Are all of my contacts receiving my messages?
  • Are my contacts still engaged with my text campaigns?

And you’ll track these metrics: 

  1. Delivery rate
  2. Unsubscribe rate

Delivery rate

Your delivery rate is the number of messages that actually made it to your subscribers’ inboxes, relative to how many you sent initially.

This number can reveal potential technical issues with the contact information in your database.

How to improve it: If your rate is lower than you’d like, it might mean that some of the phone numbers you have are invalid or have opted out of receiving SMS from you. Tackle this by regularly cleaning up your subscriber list, ensuring all numbers are valid and opt-in.

How to find your click-through rate: 

Measuring your delivery rate is straightforward. Just divide the number of messages successfully delivered by the number of messages sent, then multiply by 100 to get the percentage.

The SMS delivery rate formula is messages delivered divided by messages sent. Then multiply by 100.

Unsubscribe rate

Your SMS unsubscribe rate is how many people no longer want to receive your texts. We typically recommend that you keep your unsubscribe rate below 3%. 

A high unsubscribe rate could mean that your contacts aren’t resonating with your content or that you’re sending messages too frequently. 

How to improve it: If it’s higher than expected, consider fine-tuning your content to your audience’s interests or adjusting the frequency of your texts.

How to find your unsubscribe rate: Calculate your unsubscribe rate by taking the number of unsubscribes and dividing it by the total number of messages delivered. You can find the number of delivered messages by multiplying the total sent by the success rate. 

Then multiply the outcome by 100 to get your percentage.

SMS unsubscribe rate formula is unsubscribes divided by total sent divided by success rate. Multiply the result by 100.

Phase 3: Sprint toward goal completions and ROI

Wondering whether your text campaigns are contributing to your business goals? You’ll answer this question in the Sprint phase of SMS marketing analytics. 

Specifically, you can track how many times your contacts complete specific actions, like placing an order or registering for an event. In marketing-speak, these completed actions are called goal completions.

Let’s look at three ways to measure the impact of SMS marketing on your goal completions:

1. Specific promo codes

Sell a product or service? Set up a text-specific promo code in your point-of-sale platform to track sales from your texts. 

SMS promo code example 1: One of the brands in my personal text-inbox sent the coupon code SMSUS to give free shipping to its US subscribers. This way, the company can attribute any order I place with this code to its text campaign.

SMS promo code example 2: I talked to Ryan Doolan, the marketing director at MobCraft Beer, who uses text-specific coupons. To redeem the coupon, customers show their text to the staff at one of MobCraft’s taprooms. 

Then, the staff member enters the code into the point-of-sale (POS) system, which allows Ryan and his team to track how many orders his text campaigns generate. 

If your POS system’s analytics shows orders by coupon codes used, you can see how much revenue your text campaigns bring in.

2. UTM parameters

If you can’t (or don’t want to) discount your goods, the next simplest way to track goal completions is with UTM parameters.

UTM parameters are tags you can add to URLs to track things like which marketing channel or campaign sent the visitor to your site. If you’ve set up Google Analytics for your site, the UTM parameter tags will appear in your Acquisition report.

For this method of tracking your SMS marketing performance, you’ll also need a thank you page after someone completes your goal. This way, you can see how many people made it all the way to the thank you page.

3. Google Analytics conversion tracking

Have an online store? You can set up a tag in Google Tag Manager (GTM) that tracks purchase data and sends it to Google Analytics 4 (GA4). 

Though it takes a few more steps to measure goal completion tracking this way, you’ll have deeper insights into your customer journey. 

I highly recommend you check out these resources to get started:

What to do with the SMS data you uncover

We’ve covered why and how to measure your SMS marketing performance. To extract useful insights from the metrics in each phase of SMS marketing analytics, you’ll:

1. Log the data

Enter your text campaign results in a spreadsheet. Includes the metrics you’re tracking and the dates you’re measuring. I recommend doing this at least once a month.

2. Set benchmarks

Make a note of benchmarks for each metric. Like a height chart scribbled on a kitchen door frame, benchmarks show whether your SMS marketing is growing taller (improving), staying the same height (consistent performance), or…um, shrinking? (time for improvement).

To keep up with your benchmarks, make a note of them in a spreadsheet or doc of some sort. For each metric, jot down the value, the date, and the campaign it corresponds to. This will give you an overview of your performance over time.

3. Adjust your strategy

If you’re not meeting or exceeding the SMS benchmarks you set in the Walk and Run phases, go back and review the “how to improve it” sections for each metric.

Not seeing the results you hoped for in the Sprint phase? Here’s sage advice our director of content and SEO, Nathan Ellering, has given me: 

Texts can only be delivered, opened, clicked, and replied to. After that, the product and customer experience need to do their jobs.

In other words, your texts can encourage people to visit your site, but it’s up to the customer experience to live up to your contacts’ expectations.

So, if your sales from SMS are lagging, ask yourself:

If the answer to either or both of these is, “No,” revisit your landing pages to improve the customer experience.

Why it works: First impressions are everything, especially with text messaging. This is your chance to reinforce the value that you’re providing your customers and make them glad they opted in to your texts. Give a warm welcome with an SMS to customers that introduces your brand and sets expectations for what’s to come.

  • “Hi Jenn! Welcome to our VIP Deals Club. We’ll send you exclusive coupons and you’ll be the first to hear about upcoming sales.”

Cosmetics brand ColourPop has one of the best welcome text messages I’ve personally seen. Their opening text is eye-catching, friendly, and gives an incentive to make a purchase right away.

2. Promotional text messages

What it is: A promotional text is a message that funnels exclusive offers, sales, and rewards to a group of valued customers to keep them engaged with your brand.

Why it works: Sending offers that are exclusive to contacts on your text is the pinnacle of added value. By agreeing to receive texts from your business, contacts are rewarded with sales and special offers. 

The exclusivity of the offers justifies the extra “sacrifice” on the customer’s end. Even if you’re running a sale or promotion for all of your customers, you can announce it to your text contact list first to give them their pick of the deals.

💡 Send an image, GIF, video, or other type of MMS message along with your promotional text to show off your products or services.

It’s a pretty high conversion rate from the text message over to our website. Pretty much everyone goes over to the website to claim their gift.

3. Invitation text messages

What it is: An invitation text message lets your contacts know that an event or other important occasion is coming up and personally requests their attendance.

Why it works: First off, this is a strong choice for any business owner who wants to keep track of who they’ve invited to an upcoming event and who has or has not responded. 

Second, if you personalize these texts, they are a valuable tool in making your contacts feel like they’re getting an exclusive invite (making them more likely to take advantage).

Sample invitation text messages:

  • “Announcing our annual Energy Efficiency Summit! Join us on 8/6 from 10 a.m. to 6 p.m. for special guests and cutting-edge industry updates.”
  • “Lisa, will we see you at our upcoming ROI Tools webinar? Get all the details and register at [link] 👀
  • “Stop by our booth at this month’s Home Services Expo, and don’t forget to save yourself a seat at our panel discussion at [link].”

4. Confirmation text messages

What it is: A confirmation text message verifies the successful scheduling or submission of payments, bookings, orders, or other events.

Why it works: A confirmation message can deliver peace of mind that you’ve received the customer’s request, payment, or order. It can also reduce the number of support requests you receive from people asking for status updates.

Sample Confirmation Text Messages:

  • “We’ve received your order! 🎉 Visit our website to track your order status: [link]”
  • “Sam, your rent payment for 1/19/23 has been received. $1,300 will be drafted from your Wells Fargo Account ******0000 within 24-48 business hours. Thank you!”
  • “Your reservation for two at La Cocina is confirmed for 6/20/22. See you then!”
  • “Alice, we’ve received your support request. One of our customer service representatives will follow up with you in the next 48 hours.” 
  • “Thanks for your purchase! Your order will be on its way soon. You can check on its progress at [link].”

Personal records are important for anyone trying to stay organized, and my local skate haven Get Your Bearings does an excellent job sending confirmation text messages after every purchase (which, believe me, is way too many).

5. Reminder text messages

What it is: A reminder text message prompts the customer to remember their upcoming appointment, session, or meeting.

Why it works: You’re clearing up their headspace by giving them a reminder of their task and, in turn, reducing the number of pesky no-shows on your end. 

💡 We recommend sending the reminder 24 hours in advance to give recipients time to adjust their schedule if they forgot. Include the details of their appointment or the event, like time, date, location, and who they’re meeting with. 

Sample reminder text messages:

  • “Eleanor, you have an appointment scheduled with Dr. Jin at 10:30 tomorrow morning. Please be sure to arrive at 1010 A Street in Boston 15 minutes early!
  • “Natalie, we’re looking forward to seeing you on January 13, 2023, at 4 p.m. Our office is the first suite to the left on the second floor.”
  • “Thank you for scheduling a consultation with Grady & Associates on 4/15/23 at 8:00 a.m. Please text or call us at 440-555-5555 if you have any questions.”
  • “Lily, your appointment with Sharon is set for March 8, 2023 at 2 p.m.. Please fill out your new patient forms ahead of time: https://txt.st/GDHUK”
  • “Your appointment is coming up on 8/3 at 2:15 p.m. Reply with Y to confirm or C to cancel.”

Personally, I live by my appointment reminder texts. My local skincare go-to, Darling Sugar, regularly sends reminders 24 hours ahead of time so I never miss a session.

6. Customer follow-up text messages

What it is: A follow-up text message is sent after a customer purchases, attends an event, has a consultation, or engages with your business in another way.

Why it works: Even if you have the best product or service on the planet, customers aren’t thinking about you 24/7. They may need a little nudge to continue the discussion and make a purchase.

Sample customer follow-up text messages:

  • “Hey Jessica! I wanted to let you know a property on Boylston Street opened up that I think you’d be interested in. Would you like me to text you the info for the open house?”
  • “Hi Amelia, we missed you at spin class! Will we see you there next week? Let me know if you have any questions 🚴
  • “Hi Rich, I enjoyed our chat today about your home renovation project. Do you have any questions about our services that I can answer for you?”

The realtors in my area are masters of the follow-up. They reach out anytime a property we looked at starts showing again or when the market shifts in a big way. That’s a huge help.

7. Customer engagement text messages

What it is: Customer engagement text messages are meant to encourage your customers to take an active role in your messaging strategy, whether that means contributing their opinions on decisions within your business or simply engaging with a link or contest.

Why it works: Giving customers a reason to be personally invested in your brand and your messages does two very important things:

  • It keeps them tuned into your messages and motivates them to take action when you ask them to.
  • It helps build longer-lasting, more connected relationships with your audience.

8. Customer loyalty text messages

What it is: Loyalty program text messages are messages that thank recurring customers with exclusive discounts and deals. For example, you can ask customers to send texts with a photo of their receipt, and after 10 submissions, they’ll receive a gift or reward.

Why it works: You’re rewarding the customer for their continued loyalty, and they don’t have to keep up with a punch card. 

With a traditional punch card, all you’re doing is getting customers to return to your business, which is great. But by text-enabling the process, your customers are consenting to receive promotional texts from your brand, which gives you added ROI on top of the return business. Plus, it’s fun and simple.

Sample loyalty program text messages:

  • “Congrats on your 10th purchase! Enjoy a free cup of coffee and one pastry item on us by showing the cashier this text message!”
  • “Yay! You just earned 5 bonus points in our loyalty program. Redeem them now for exclusive rewards.”

9. Customer feedback text messages

What it is: A feedback request text message is an SMS request for customers to share feedback or ideas about their experience. 

Why it works: The value consumers place on customer service is growing each year. More feedback means more data for you to use and improve! 

Not to mention, your customers feel valued when you ask them their opinion. Especially when it’s done in a way where you can respond and show you’re actually listening.

Sample feedback request text messages:

  • “Tammy, thanks for choosing Carl’s Car Wash for your express polish. We would love to hear your thoughts on the service. Feel free to text back with any feedback. Safe driving!”

Safelite recently saved me a lot of time and trouble by fixing my car window when my vehicle was broken into. When I got this text, I clicked the link immediately to go sing their praises for their great service and speed.

10. Two-way customer service text messages

What it is: As the name suggests, two-way customer service text messages are texts that go between you and your customers to solve issues or answer questions.

Why it works: We’ve touched on the fact that your customers like to feel connected to your brand and take an active part in your communications. 

Two-way texting makes this easy for both you and your subscribers. They get to reach out to you with questions, comments, or concerns, and they can feel confident that they’ll receive an answer quickly. 

Here’s a real-life business-to-customer text message sample from our own Nathan Ellering. 

His chiropractor recently couldn’t meet at his scheduled appointment time. Instead of emailing him (which, in his words, “I’d miss in my junk inbox of literally 23,836 unopened emails”), they sent a text instead. 

According to Nathan, “They made it easy to reschedule and keep my business for this one time, and also made a happy, long-term customer – I know I matter to them and I’m not just a number.”

How to save sample text messages
